Description
Title: Routing & Dispatch Coordinator
FLSA Status: Full-Time Hourly Position
Pay: Varies, Depending on Experience
Reports to: Director of Transportation
Position Description:
Under the supervision of the Director of Transportation, this position is primarily responsible for transportation routing and providing support to drivers, conducting driver and vehicle audits, enforcing safety policies and procedures, maintaining Department of Transportation (DOT) compliance, and providing excellent customer service to all partner agencies, donors, and the public.
Primary Responsibilities:
Logistics
- Creates efficient daily routes for Albuquerque and Las Cruces drivers both in and out of state using Omnitracs software
- Coordinates scheduling of temporary drivers due to vacancy, vacation, and capacity restrictions
- Maintains the scheduling and changes to partner delivery appointments and new partner deliveries along with donor pickups and changes
- Ensures adherence to routing structures, departure times, and equipment assignments, and provides reporting on metrics
- Manages tractor and trailer locations and service status using Trello and Smartsheets or other software for Roadrunner and external partners
- Assists in managing time throughout the week by controlling driver’s time usage
Customer Service
- Focuses on donor, agency, and vendor expectations, and solves problems while maintaining a high level of patience and professionalism
- Provides effective resolution to customer issues in a professional manner
- Responds to internal and external stakeholder inquiries in a timely and efficient manner
Communication
- Regularly communicates issues and successes with managers and drivers
- Provides immediate report to Manager any information obtained from daily routes concerning customer complaints, concerns, potential safety issues, route deviations and other relevant information
- Communicates out of time window deliveries/pickups to agencies, vendors, and donors
- Completes daily pass down to transportation team
- Works with the Community Initiatives team to ensure partner appointments are utilized effectively
Safety
- Assists Director of Transportation with accident prevention program to ensure all reasonable actions are taken to prevent accidents or injuries and to ensure safety
- Assists the management team in investigating all accidents, customer complaints and transportation delays, and helps to develop steps for prevention
- Performs random ride-alongs with drivers
- Conducts random equipment inspections on trailers, tractors, pallet jacks, etc.
- Assists Director of Transportation in organizing and conducting driver’s meetings
Compliance
- When routing, ensures compliance with all applicable federal and state transportation laws
- Maintains physical transportation records and truck files, such as accident reports and maintenance records
- Tracks Mileage and fuel usage for IFTA and Internal usage
- Adheres to Hours of service and other DOT compliance regs when routing
- Schedules driving test for newly hired drivers to determine skill level
- Ensures drivers are trained on required phone and ELD equipment and logged into routes using ELD devices; routinely monitors usage
Supervisory Responsibilities
May oversee an intern or temporary employees as assigned
Performs all other duties as assigned
Qualifications:
- One year of customer service experience
- Must be available to meet the demands of the department which may be subject to occasional evenings and weekends
- Excellent customer service and communication skills are critical
- Proficient using Microsoft Office and basic use of a desktop PC
- Clean driving record
Preferred Qualifications:
- High school diploma or general education degree (GED)
- Logistics experience preferably in a warehouse, retail, wholesale, or food service setting or prior food bank experience
- Basic knowledge of DOT laws governing hours of service for CDL drivers
- Class A CDL or
- At least one year using truck routing software
- At least one year of experience monitoring a team
- Experience using heavy equipment such as forklift, pallet jack, riding jack
Employment Requirements
- Negative Pre-employment Drug Screen
- Successful Background Clearance
- Successful Completion of Forklift Training provided by RRFB
Physical Environment
- Both office and warehouse environments
- Occasional use of heavy equipment such as forklift, pallet jack, riding jack
- May be exposed to cold / freezing temperatures
- May occasionally lift and/or move up to 100 lbs.
- May occasionally pull in excess of 1000 lbs. with a pallet jack
- Must be able to load and unload items into and out of truck
- Occasionally exposed to moving mechanical parts
- The noise level in the work environment is usually loud
