Purpose

The receptionist sets the standard of customer service for Roadrunner Food Bank by ensuring visitors feel warmly welcomed and by providing the information, service or assistance needed. This position is responsible for opening the public entrance at the beginning of the day and closing it at the end of the day, maintains the lobby reception area, answers phone calls, provides referrals to individuals needing food assistance, assists donors with unloading and weighing individual food donations, provides support to the volunteer programs team, and performs various other administrative tasks. 

 

This is a part-time shared role in which two individuals share the workload of a single full-time position, requiring effective collaboration and coordinated scheduling. Both part-time employees are jointly responsible for all job tasks related to this role.  This position normally works 22 to 24 hours per week with a schedule to be mutually agreed upon to ensure full coverage of the reception area Monday through Saturday.

 

Key Result Area #1 - Customer Service                                                                                                                             

·        Provide courteous, professional, and timely service to internal and external customers and engage with the public in a positive way through phone calls and in person.

·        Greet and assist visitors who come through the main entrance of the building and determine the purpose of their visit.

·        Answer incoming calls and ensure they are directed to the appropriate person.

·        Alert staff when their visitors arrive.

·        Maintain visitor log and track vendor and temp badges.

·        Help donors bring in small food donations and direct larger food donations to the warehouse receiving team.

·        Assist individual community donors at the front desk by receiving, weighing, and logging food donations and providing receipts, and directing large donations to the warehouse receiving team.

·        Accept individual monetary donations, strictly following specified procedures.

·        Provide referrals and/or food boxes to individuals in need of food assistance.

 

 

Key Result Area #2 - Volunteer Experience                                                                                                                      

·        Prepare a daily list of scheduled volunteers for the warehouse.

·        Prepare volunteer sign-in consoles so they are ready for the volunteers to use each morning.

·        Acknowledge volunteers when they come through the door in an engaging and positive manner.

·        Assist volunteers with the sign-in process and scheduling system as necessary.

·        Express appreciation to volunteers for their time as they are leaving.

·        Make confirmation phone calls to groups who are registered to volunteer.

·        Respond to general questions regarding volunteer policies, procedures, and safety.

 

Key Result Area #3 - Administrative Responsibilities                                                                                                          

·        Responsible for opening the front doors to the building each morning and locking the front doors to the building each afternoon.

·        Proactively post notifications of closures, delays, and cancellations in the lobby at the main entrance.

·        Responsible for ensuring an orderly and welcoming reception desk and lobby reception area.

·        Ensure outgoing mail is picked up by the mail carrier each day, and incoming mail is delivered to Finance in an expeditious manner.

·        Notify individuals when express mail, courier items, or packages arrive and ensure they are picked up or delivered to the intended recipient.

·        Complete routine weekly and monthly reports and other reports as assigned.

·        Maintain a supply of food drive boxes in the lobby area for pickup by community members.

·        Perform general clerical support and participate in special projects as assigned.

·        Actively engage in team, departmental, all-staff, and strategic planning meetings as required.

·        Communicate effectively and openly with job-share co-worker and team members.

·        Contribute to the ongoing enhancement of customer service and reception area.

 

Other Duties as Assigned.

 

Reception Area Dress Code

This is a public facing position that represents Roadrunner Food Bank and must adhere to wearing casual professional office attire. The Manager of Volunteer Programs will establish a reasonable professional dress code appropriate for this position. 

 

Supervisory Responsibilities 

This role has no direct supervisory responsibilities but may provide guidance to reception area volunteers or interns.

 

Qualifications

·        High School diploma or G.E.D. equivalent.

·        Two years office receptionist and/or direct client customer service experience.

·        Strong collaboration and communication with co-workers.

·        Compassionate and patient sensitivity to the needs of community members, visitors, and volunteers.

·        Communicate verbally and in writing, in person and via phone, in an articulate and professional manner. 

·        Competency in intermediate computer skills, particularly Microsoft Office Suite, internet, and database navigation. 

·        Proactive in dealing with unexpected issues with the ability to multitask, prioritize, and work under pressure at times.

·        Comfortable working independently with general supervision.

·        Self-motivated with strong organizational skills and detail oriented.

·        Comfortable following instructions and diligent about meeting deadlines.

·        Engaged team player with the ability to maintain confidentiality.

 

Preferred Qualifications

·        Bi-lingual (Spanish) strongly preferred.

Physical Environment

·        Primary work is in an office reception environment. 

·        The work environment can be busy and noise level may be moderate to loud at times.

·        Occasional exposure to varying temperatures through trips to the warehouse or outside.

·        Some lifting of packages & food donations (20 pounds).
