Job Description
Position Overview
The Payroll & Benefits Specialist position is responsible for processing weekly payroll and maintaining employee time records, as well as directing the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, accident plan, flexible spending plan, retirement plans, etc.). This position provides excellent customer service.

- Enters, maintains, and/or processes information in the payroll system; information may include employees’ hourly rates, salaries, bonuses, or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information
- Ensures proper processing of payroll deductions for taxes, benefits, and other deductions
- Reconciles payroll to the general ledger and monthly bank statements
- Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge
- Serve as primary contact for plan vendors and third-party administrators
- Coordinate transfer of data to external contacts for services, premiums and plan administration
- Evaluate and revise internal processes to reduce costs and increase efficiency
- Document and maintain administrative procedures for assigned benefits processes
- Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees
- Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing
- Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records
- Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans
- Allocate group health and dental claims monthly and review quarterly
- Audit the accuracy and performance of functions performed by benefits staff
- Perform plan audits
- Review both short- and long-range cost estimates/projections and relevant statistical analyses regarding modifications in benefits programs and implementation of new programs
- Provide customer service support to internal and external customers
- Develop communication tools to enhance understanding of the company's benefits package
- Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions. Provide training and support to in-office and remote employees of RRFB
- Maintains confidentiality in all sensitive matters
- Abides by the People & Culture department’s “people first” attitude; treats other RRFB staff members as internal customers
- Acts as a brand ambassador for Roadrunner Food Bank in all professional settings, both internally and externally
- Performs other related duties as assigned

Travel Required
- Infrequent travel required (less than 25% of working time)
- In-state travel only, primarily confined to the Albuquerque, NM and Las Cruces, NM metro areas
- Overnight stays are rare
- Company vehicle provided for travel
- Mileage reimbursement is provided for the use of a personal vehicle for work-related activities
- Valid state driver’s license and continuous positive MVRs (Motor Vehicle Reports) are required to drive RRFB company vehicles
Required Education, Licenses, Certifications, and Experience
- High school diploma or equivalent required
- At least 3 years of administrative and clerical experience required
- At least 3 years of customer service experience required
- At least 1 year of payroll and/or employee benefits experience required
- Familiarity with non-profits required
Preferred Education, Licenses, Certifications, and Experience
- Associate’s degree in office administration or related field preferred
- At least 1 year of food banking experience preferred
- At least 2 years of payroll experience and/or employee benefits experience preferred
- Bilingual in English/Spanish (written and spoken) preferred
Work Authorization/Security Clearance Requirements
- Legally authorized to work within the United States
