Operations Support Coordinator
The Operations Support Coordinator plays a key role in ensuring the smooth daily operations of the food bank. This position provides administrative, logistical, and client service support to help manage food pantry and distribution, Transportation coordination, and internal process efficiency. The coordinator helps maintain accurate records, supports inventory management, assists with volunteer and partner communications, The coordinator supports daily warehouse operations, manages documentation and communication, and assists in maintaining compliance with all organizational and regulatory standards. and ensures that the food bank’s mission of fighting hunger is delivered effectively and efficiently. This position is Grant Funded under HB-1 funding through June 30, 2027. The continuation of the position after June 30, 2027, is dependent on the securing of additional funding.

- Coordinates and supports day-to-day operational activities across departments
- Assists in planning and coordinating Produce Pop-Ups in Southern New Mexico
- Assists in planning with Transportation Team Mobile Market deliveries in Southern NM
- Supports the coordination of volunteer activities related to Las Cruces Pantry/Day Bag Program and Mobile Market distribution operations
- Provides general administrative support including filing, data entry, and supply management
- Collaborates with the Operations/Logistics team to improve processes and identify areas for increased efficiency and service quality
- Supports and helps monitor compliance with health, safety, and food handling regulations

- Coordinates daily logistics and administrative tasks to support food distribution operations
- Maintains accurate records of inventory, partner data, and program documentation in compliance with reporting standards
- Supports the development and implementation of operational procedures to improve efficiency and service quality
- Monitors project timelines, deliverables, and follow up on outstanding items
- Manages scheduling, meetings, and communication for the operations team
- Identifies opportunities to improve efficiency and recommend solutions
- Ensures compliance with company policies, procedures, and quality standards

- Assists with scheduling, meeting coordination, and preparation of agendas and minutes
- Helps develop and implement standard operating procedures (SOPs)
- Makes phone calls to partner agencies to confirm updates to pantry distribution dates, hours of operation, and contact information
- Provides support to the Community Advocacy Team by assisting with partner communication, data entry and on-site pantry operations
- Communicates updates to Community Advocacy Managers (CAMs) and maintains accurate internal records
- Assists in scheduling and coordinating pantry updates, events and communication efforts
- Maintains communication with CAM team regarding schedules, needs and updates
- Receives, sorts, and stores food donations
- Maintains and organizes pantry shelves and storage areas
- Provides information about available programs and community resources when appropriate
- Provides occasional logistical support at mobile or pop-up distributions when needed
- Ensures accurate counts and documentation for reporting and compliance
- Pantry Support Las Cruces Office and oversight of volunteers as needed
- Assists with assembling pantry food boxes and handing out day bags as part of daily operations
- Helps manage inventory for day bag and emergency box program
- Coordinates with Director of Community Advocacy on day bag and emergency box program operations
- Receives and inventories donations from the public
- Inputs data and donation in CERES
- Maintains pantry records and reporting
- Provides customer support to pantry clients
- Assists Transportation with tax fuel tracking receipts
- Assists with out of state miles tracking
- Assists Strategic Support Team as needed

- Office and warehouse environment; occasional time spent in refrigerated or dry storage areas
- Candidates should be comfortable navigating and working in both warehouse and office environments, adapting to the varied conditions inherent in each setting.

Travel Required
- Some local travel may be required to support operations or community events
Required Education, Licenses, Certifications, and Experience
- 2 – 4 years of experience in operations coordination, logistics, administrative support, or customer service, preferably in a nonprofit or food bank setting
- Excellent organizational and multitasking abilities with strong attention to detail
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and data management software
- Ability to work collaboratively across departments and with external partners
- Demonstrated commitment to community service and hunger relief
- Nonprofit management, logistics, or related field or equivalent experience
- Strong communication and relationship-building skills with diverse stakeholders
- Excellent organizational and multitasking abilities
- Ability to handle confidential information with discretion
Preferred Education, Licenses, Certifications, and Experience
- Experience with warehouse management or inventory tracking systems (e.g.,Salesforce)
- Knowledge of food safety regulations and USDA commodity program requirements
- Experience supporting volunteers and coordinating community-based programs
- Experience with warehouse or logistics management systems
- Familiarity with food bank operations, food safety guidelines, or USDA compliance
- Data management and reporting experience

- Legally Authorized to work within the United States
