Title: Manager of Volunteer Engagement
FLSA Status: Full-Time Salary Position
Pay: $55,000 - $58,000 Annually
Reports to: Director of Volunteer Impact
Description
The Manager of Volunteer Engagement is responsible for strengthening the relationship of our volunteers with Roadrunner Food Bank and managing activities that enhance volunteer engagement. This position collaborates with Roadrunner’s development officers and team to encourage opportunities for full spectrum support of the food bank through the donation of time, funds, and food. Primary responsibilities include recruitment, education, engagement, and appreciation of individuals as donors of time throughout the organization’s events based out of our office in Las Cruces, New Mexico.
Key Result Area #1 - Volunteer Recruitment and Engagement
- Develop relationships with organizations, groups, schools, and individuals for the purpose of enlisting and engaging volunteers from across a wide spectrum of ages, experience, skill levels, and capacities in support of the mission of Roadrunner.
- Collaborate with organization managers to be abreast of existing and new opportunities for volunteerism.
- Develop recruitment strategies to ensure organizational opportunities for volunteering are sufficiently supported.
- Identify and strengthen Roadrunner’s relationship with key individuals and groups through volunteerism.
- Develop and carry out a method of appreciation for all volunteers in a way that helps them understand the impact of their gift of time.
- Coordinate with the volunteer programs team to develop and lead volunteer appreciation activities and events. Collaboratively work to engage volunteers with a variety of larger organizational activities such as Hunger Action Month, food drives, and advocacy efforts.
- Ensure that the vision and mission of Roadrunner are integrated into all elements of volunteerism.
Key Result Area #2 - Volunteer Experience
- Act as the point of contact for people inquiring about volunteer opportunities with Roadrunner Food Bank including individuals, groups, and court ordered community service.
- Manage applications for court ordered community service, following established guidelines regarding selection, scheduling, supervision, documentation and verification of service hours.
- Respond in a timely manner to email, phone, and in-person inquiries regarding volunteer opportunities at Roadrunner. Facilitate the scheduling of volunteers, monitor assignments, and ensure hours are tracked accurately in Roadrunner’s volunteer management database.
- Communicate with volunteers regarding available opportunities, schedule confirmations and reminders, holidays and closures, and policy updates.
- Welcome individuals and groups volunteering with Roadrunner events to provide up-to-date statistics and information about Roadrunner’s programs, events, and community impact, provide information about projects, tasks, and safety, and introduce them to task or project staff supervisors.
- Develop a positive rapport with volunteers and generate enthusiasm for their volunteer experience.
- Mediate resolutions to problems, issues, and concerns around volunteering raised by individual volunteers and/or staff.
Key Result Area #3 - Development Support
- Foster positive engagement of individuals to encourage financial support of Roadrunner when appropriate.
- Communicate with the development officer(s) about individuals who express interest in society memberships or regular financial contributions.
- Invite and encourage volunteers to participate in Roadrunner’s quarterly Mission in Motion presentations to learn about the organization’s programs and advancements.
- Represent Roadrunner Food Bank and provide presentations as requested for community events, community partner meetings, and tabling events for the purpose of advancing the Roadrunner’s mission and recruiting volunteers.
- Participate in speaking engagements with civic, school, religious, or other non-corporate groups to provide general information about the food bank to those who are interested in volunteering.
- Support the planning and execution of volunteer and donor recognition and appreciation events in collaboration with the development officer(s) and volunteer programs team.
- Speak on behalf of the food bank to volunteers, visitors, and donors to introduce them to our mission and operations, and lead tours as needed.
- Collaborate with the communications team to highlight volunteer needs, activities, and achievements for Roadrunner’s newsletters and social media.
- Provide support for development department events such as the Hunger Hotline and Donation Hotline, as needed.
- Provide administrative and logistical direction for individuals or groups expressing interest in food and fund drives, including guidance for online sign-up, resources, scheduling, and delivery in collaboration with the development officer(s).
Key Result Area #4 - Record Keeping
- Ensure accurate tracking of volunteer opportunities and service hours in our volunteer management database.
- Confirm that current volunteer waivers are signed and collected for volunteer events and activities, either digitally or on paper.
- Track volunteer engagement activities and submit monthly reports to the director.
- Use the volunteer management database as a tool for regular communication with volunteers.
- Securely store and maintain all confidential and/or sensitive information as designated by the organization.
Key Result Area #5 - Teamwork
- Collaborate cross-departmentally to ensure a positive experience for all food bank visitors, including clients, volunteers, and donors.
- Assist with receiving donations of food or funds, as needed.
- Assist with the distribution of food assistance to community members, as needed.
- Participate in and support organization-wide events such as Stamp Out Hunger, Souper Bowl, and Holiday Food Distributions.
- Comply with the food bank’s operational policies, systems, and procedures.
Key Result Area #6 - Safety
- Provide information about safety requirements and policies to volunteers, and ensure volunteers are aware of safety procedures for the location they are assigned to work.
- Enforce volunteer policies and procedures as necessary for all activities or projects to ensure a safe working environment. Other duties as assigned by the supervisor.
Supervisory Responsibilities:
This position has no direct reports, but regularly recruits, educates, engages and occasionally supervises volunteers in their activities and the larger mission of the food bank, and provides regular reports on volunteer recruitment, engagement, and retention activity.
Qualifications
- Bachelor’s degree in administration/management, public relations, social work, communications, education, or related field, or equivalent experience.
- Three years related experience in nonprofit volunteer coordination, recruitment, engagement, or donor cultivation.
- Proven track record working in a collaborative team environment with people of diverse backgrounds and circumstances, and the ability to develop strong rapport and relationships with stakeholders at all levels.
- An ability to communicate with individuals at all levels in the organization and with external contacts in an articulate, professional manner while maintaining the necessary degree of confidentiality.
- Demonstrated ability in public speaking and time management.
- Self-motivated, proactive person with a track record of taking projects from conception to delivery.
- Ability to use critical thinking to identify, assess, and resolve problems, develop alternative solutions, and use reason.
- Strong skills with MS Office Suite (Word, Excel, Power Point, Teams), internet, and database navigation.
- Display passion, vision, and enthusiasm for the mission of Roadrunner Food Bank.
- Occasional evening or weekend availability.
- Must have a valid driver's license and clean driving record.

Physical Environment
- Work environment is a combination of in the office and in the field - 60% office/40% in the field.
- The employee may be required to travel to activities and events off-site. Company vehicle or mileage reimbursement will be provided.
- The employee may be required to participate in outdoor activities or events which are subject to exposure to weather conditions.
- The employee may occasionally lift and/or move up to 50 pounds.
- The employee should be able to operate pallet jacks and scales or be willing to learn.
- There may be occasional exposure to loud noise levels.
