Job Description

Under the supervision of the HR Manager, this position is primarily responsible for supporting a positive, employee-oriented culture and performs day-to-day HR activities by providing administrative support to the HR Department including, but not limited to: scheduling meetings, filing and maintaining personnel files and documents, event support, data-entry, communicating with all RRFB team members and external partners as needed to provide exceptional customer service. 

Primary Responsibilities:

 Employee Relations

  • Works with the HR Manager to timely respond to employee requests and needs around payroll, benefits, onboarding, etc.
  • Acts as a front-line resource to educate employees regarding where to find employee-centered information (i.e. benefits, policies)
  • Updates our internal employee SharePoint site, ERNIE, with relevant information
  • Assists in processing, tracking and filing performance review forms
  • Supports tasks associated with the employee feedback survey and also ad hoc surveys
  • Supports internal Culture of Possibility initiatives in support of employee engagement and leadership development as directed by the HR Manager and the Chief of Staff
  • Timely responses to all employee inquiries and communications
  • Attends meeting as an HR representative if HR Manager is unavailable
  • Responsible for maintaining excellent customer service relations with all external RRFB partners and donors, as well as all internal RRFB personnel
  • Assists with employee engagement and recognition activities with the REACH Team and the Chief of Staff, as needed
  • Provides support for all company related staff events, as needed
  • Displays passion and optimism for the work, provides vision and inspiration to all RRFB team members and exemplifies RRFB core values
  • Provide support such as catering coordination, attendance tracking, set-up and offsite errands for HR Department events and activities including all staff/management team events, orientations and various trainings and meetings

Recruitment, Onboarding & Offboarding

  • Assists with recruiting activities such as posting open positions internally and to job boards, responding to applicant inquiries, routing applications and resumes to hiring managers, as needed to support the HR Manager
  • Can assist with conducting orientation meetings and completing the orientation process including policy review, form completion, HR system entry and records retention to act as a backup for the HR Manager
  • Executes administrative items on onboarding and offboarding checklists; ensure all items are completed

 Benefits

  • Assists in the data entry of the employee benefit processes, including new hire enrollment, eligibility verification, qualifying events, etc.
  • Assists the HR Manager with preparation for open enrollment periods
  • Assists in providing benefit-related contact information, plan documents and additional contact support as needed
  • Assists in data entry for 403b administration

 Data Management

  • Assists in the accurate and timely processing of a variety of human resources and payroll actions such as promotions, separations, wage changes or increase and changes to benefits elections
  • Maintains the data integrity of the HR system and benefits systems
  • Assist HR Manager by creating reports

 Human Resources Administration

  • Assists with the management of the HR payroll system and functions, ensuring timely completion of HR payroll tasks.
  • Maintains highly sensitive and confidential information and performs department record keeping and file maintenance
  • Responds to employment verification requests
  • Opens all incoming HR mail for review by HR Manager
  • Ensures all approved role descriptions are formatted and made available on intranet
  • Follows all safety and security guidelines; see something, say something
  • Attends staff meetings and other meetings when required; supports other RRFB staff and programs as an active and participating team member
  • May supervise or provide instructions to volunteers who assist various functions or RRFB events
  • Performs other duties as assigned.

Skills / Requirements

Qualifications:

  • Minimum of 2 years working in an office administrative capacity
  • Proficient with technology including MS Office applications and the ability and willingness to master new software applications
  • Consistency, fairness, strict confidentiality, and professionalism are required
  • A self-starter with excellent organizational, analytical, project management, and follow-through skills, and the ability to multi-task with minimal supervision
  • An independent thinker with a continuous improvement mind-set who is interested in problem-solving but not afraid to ask questions
  • Ability and desire to work collaboratively with team members across the organization to accomplish objectives
  • Outstanding communication and interpersonal skills, including presentation and relationship building
  • Ability to create reports, business correspondence and procedure manuals

Preferred Qualifications:

  • Bachelor's degree or equivalent work experience with a minimum of three to five years professional human resources work experience
  • Human Resources experience in a non-profit environment
  • Strong consultative, coaching and collaboration skills
  • Bi-lingual in Spanish a plus
