Title: Donor Services Coordinator (On-Site)

FLSA Status: Non-exempt                            

Manager: Senior Manager, Database and Donor Services            

Compensation: $19 to $20 per hour with benefits

                             

Job Description

Reporting to the Senior Manager, Database and Donor Services, this position is responsible for data entry of donor contributions, donor acknowledgements, and providing excellent customer service over the phone, via written communication, and in person to donors. As a member of the Development Team, supporting the work of the food bank by positively interacting with donors, clients, co-workers and the public is a key function for success.

 Roadrunner Food Bank receives a significant amount of donations via mail, online giving portals, wire transfers, grants, and other sources. Accurate and timely data entry of donor and gift information allows the organization to steward these funds in the manner in which they have been entrusted to us. Accurate data about donors and their giving is often the first step in starting a positive relationship with a donor and is key in furthering that relationship over time. Ultimately, successful donor relationships will allow our organization to grow and reach more people in need.

Primary Responsibilities

 

1 - Development Data Entry

 

Organize, enter, and reconcile data from multiple sources for donation processing, relationship management, and other forms of data entry into organizational databases in a timely, confidential, and accurate manner.

 

Perform all donation and relationship data entry within the donor database through batch imports and manual entry - types of data include monetary donations, in-kind donations, and food drive information.

 

Perform daily reconciliation to ensure data is accurate and coded correctly.

 

Identify and resolve day-to-day data entry problems in a timely manner, work to solve problems, and escalate issues to Manager.

 


 

2 - Thank You Letters and Correspondence

 

Participate in all facets of donation related correspondence, including printing letters and monthly inserts, folding letters, stuffing envelopes, obtaining signatures per gift-level protocols, and mailing letters.

 

Work with the communications team to update templates for thank you letters with the new content each month.

 

3 - Donor and Client Communications

 

Answer incoming calls related to financial donations and other donation-related needs.

 

Correct, document, and communicate errors in database as found through information received from phone calls and emails.

 

Monitor Development Department general email inbox throughout the day. Forward emails and voicemails to appropriate team members as appropriate.

 

Conduct outreach to donors with declined transactions, attain updated information, and provide instructions to donors on how to update giving information directly.

 

 

4 - Collaboration and Teamwork

 

  • Develop collaborative working relationships with members of the Development team, Finance team and Volunteer team.

  • Work with temporary data entry clerks and volunteers to coordinate data entry tasks and donor acknowledgement letters as needed.

  • Provide staffing support to large-scale events, initiatives, and projects that impact the overall development program.

·      Responsible for correspondence with the public and managing donor requests

Qualifications

  • High School diploma or equivalent
  • 1-year data entry experience
  • 1-year customer service experience
  • Knowledge of Microsoft products including Excel, Word, Outlook, and Teams
  • Experience with Microsoft Word mail merge functions
  • Detail-oriented with excellent time management skills
  • Ability to multi-task and meet time-critical deadlines

 

Preferred Qualifications

  • Associates Degree and 2+ years customer service experience
  • Experience in Constituent Relationship Management Databases, especially Salesforce
  • Experience working directly with the public, especially donors
