Manager: Manager of Volunteer Programs 

Purpose  

As a key member of the volunteer programs team, the Coordinator of Volunteer Activities collaborates with team members to provide optimal volunteer support for Roadrunner operations and programs while fostering the best possible experience for our volunteers. This position engages with a wide range of individuals to facilitate the scheduling of individual and group volunteers, collaborates with all departments to match skilled volunteers to appropriate tasks, and helps train, schedule, supervise, and coordinate our volunteer corps. The position is routinely scheduled to work Tuesday through Saturday each week.

Key Result Area #1 – Volunteer Coordination        

· Collaborate with all departments to determine volunteer needs and ensure that all areas of the organization have the volunteer support needed to accomplish various tasks.  

· Create and manage volunteer opportunity listings in our volunteer management software and monitor volunteer assignments.

· Help to recruit and schedule all volunteers to ensure coverage of all organization and program areas and special events.

· Act as a liaison between Roadrunner staff and volunteers, introduce volunteers to assigned staff for supervision, and provide follow-up as necessary.

· Organize and monitor daily volunteer activities throughout the organization.

· Monitor, assist, and verify hours for City of Albuquerque speed camera community service and court ordered community service volunteers.

· Coordinate volunteer recruitment and scheduling for special events, such as letter carrier food drives, Souper Bowl, and holiday distributions.

· Communicate with volunteers regarding available opportunities, schedule confirmations and reminders, holidays, and closures.

Key Result Area #2 – Volunteer Experience        

· Greet volunteers at the beginning of their shift or assignment, provide information about projects and safety, prepare them for their tasks, and introduce them to task or project staff supervisors.

· Communicate clear and simple instructions effectively with individuals and groups, so volunteers understand their role and duties as an essential part of the organization.

· Monitor group volunteer request forms, and respond in a timely manner to email, phone, and in-person inquiries regarding group volunteer opportunities at Roadrunner.

· Effectively engage volunteers from across a wide spectrum of ages, experience, skill levels, and capacities.

· Facilitate the scheduling of individuals and groups and monitor assignments via the volunteer management software.

· Assist with the daily preparation and production of safety presentations, welcome boards, and announcements.

· Communicate with volunteers regarding available opportunities, schedule confirmations and reminders, holidays and closures, and policy updates.

· Develop a positive rapport with volunteers and generate enthusiasm for their volunteer experience.

· Regularly check in with Roadrunner staff and volunteers to ensure a high-quality experience.  

· Collaborate with the volunteer programs team and other staff to develop and lead volunteer appreciation activities and events.

Key Result Area #3 – Record Keeping          

· Monitor accurate daily tracking of volunteer hours, remind volunteers to sign in/out as necessary, and track no-shows.

· Support the regular maintenance of the volunteer management database to ensure the accuracy and confidentiality of volunteer information.

· Utilize the Outlook volunteer calendar to monitor group scheduling and team events.

· Assist with the verification of volunteer hours.

Key Result Area #4 – Teamwork        

· Act as front desk receptionist on Saturdays and provide back up support to the front desk receptionist as needed during weekdays.

· Monitor the volunteer inbox and call queue, reply to inquiries as needed, and/or forward messages to the appropriate team member.

· Ensure appropriate staff are aware of corporate groups and partners volunteering in the facility.

· Participate in team, departmental, all-staff, and strategic planning meetings as required.

Key Result Area #5 – Safety          

· Provide information about safety requirements and regulations to volunteers, and ensure volunteers receive safety procedures for the location they are assigned to work.

· Enforce safety policies and procedures for all activities or projects to ensure a safe working environment.

· Collaborate with appropriate staff to address volunteer concerns and complete incident reports as necessary.

Supervisory Responsibilities

This position has no direct reports, but regularly organizes, schedules, trains, and supervises volunteers and their activities daily and provides regular reports on volunteer activity.  

Qualifications  

· Associate degree or bachelor’s degree in administration, management, project management, social work, or related field; or equivalent experience.

· One or more years’ experience in a staff or volunteer supervisory role; or coordinating, organizing, and scheduling volunteers.

· Availability to routinely work Tuesday through Saturday.

· Ability to foster enthusiasm and develop strong relationships with stakeholders at all levels.

· Capacity to interact well with individuals from a variety of backgrounds in a culturally diverse environment.

· Self-motivated, proactive person with attention to detail with the ability to organize, direct and  

coordinate projects and supervise volunteers.

· Intermediate to advanced skills with MS Office Suite (Word, Excel, Power Point, Teams), internet, and database navigation.

· Ability to communicate, verbally and in writing, with individuals at all levels in the organization and with external contacts in an articulate, professional manner while maintaining a necessary degree of confidentiality.

· Passion, vision, and enthusiasm for the mission of Roadrunner Food Bank.

Preferred Qualifications

· Experience working with volunteers in community-based nonprofit organizations.

· Bilingual (English/Spanish)

· Successful background clearance

· Complete SERV Safe training once hired (training provided by employer)

Physical Environment  

· Some work is in an office and some in a warehouse environment – 80% office/20% warehouse.

· Employees may occasionally be exposed to hot or cold temperatures in the warehouse.

· Occasional exposure to loud noise levels in the warehouse.

· May occasionally require participation in outdoor activities or events which are subject to exposure to weather conditions.
